The four ways a clinic takes bookings on WhatsApp
| Receptionist replies by hand | Booking link or form | Menu chatbot | AI receptionist on the clinic's schedule | |
|---|---|---|---|---|
| Answers at 11 PM and on Sunday | ✗ | ✓ if the patient opens the link | ✓ | ✓ |
| Patient writes in their own words | ✓ | ✗ fills a form | ✗ presses 1, 2, 3 | ✓ Arabic, Arabizi, French, English |
| Offers only times that are really free | If the receptionist checks | Depends on the calendar behind it | Rarely — most collect a request | ✓ computed from doctors, rooms and hours |
| Reschedules and cancels | ✓ in working hours | Sometimes | Sometimes | ✓ |
| Booking reaches the patient's record | Typed in again by hand | Typed in again, or a separate calendar | Typed in again | ✓ written directly |
| Sends the reminder | If someone remembers | Often by email | Sometimes | ✓ on WhatsApp, with confirm and reschedule |
The first three exist because they are cheap to start. Their shared weakness is the last mile: a message, a form or a menu still ends with a person copying the booking into the schedule the next morning. The fourth removes that step, which is why it needs to be connected to the practice management system and not sit beside it.
How a booking happens, step by step
- The patient messages the clinic's usual WhatsApp number. No app, no link, no account. A typed message or a voice note.
- The AI reads the request in Arabic, Lebanese Arabizi ("baddi maw3ad bukra"), French or English, and asks only for what is missing: which treatment, which day.
- It offers real open times as tappable options. The times are calculated by the scheduling engine from each doctor's hours, the rooms and the existing appointments. The AI never types a time from memory.
- The patient picks one and confirms. The confirmation is a separate message, so nothing is booked by accident.
- The appointment is written to the calendar and the patient's record. A new patient gets a file; a returning one is matched by phone number.
- A reminder goes out before the visit with one tap to confirm or reschedule. A freed slot is offered to the waitlist.
- The team sees every conversation in a shared inbox and can take over a chat at any moment.
What a clinic needs to set it up
- A WhatsApp number for the clinic, connected through Meta's official WhatsApp Business Platform. The clinic keeps its existing number.
- Its services, doctors, rooms and working hours entered once, so availability can be calculated.
- Prices, if the clinic wants them quoted. A clinic can also choose to hide prices and have the AI invite the patient in for an assessment.
With Sada the setup is done for the clinic during onboarding and a clinic is usually live within a day.
What WhatsApp booking does not do
- It does not diagnose. A patient describing pain is booked or passed to the team; the AI gives no clinical advice.
- It does not replace the receptionist. It takes the repetitive messages, at all hours, and hands over anything that needs a person.
- It follows WhatsApp's rules. A clinic can reply freely for 24 hours after a patient's last message. Outside that window, reminders and recalls must use message templates approved by Meta, and those are billed by Meta per message.
What it costs
Sada includes WhatsApp booking in every plan, together with the practice management system it books into:
One dentist, one room. The WhatsApp receptionist plus the full practice management system.
Up to 3 dentists, unlimited rooms, Lebanese Arabizi, more reminders, reactivation and reviews.
Groups and multi-location clinics, voice-note understanding, priority support.
No setup fee, no contract, first month free. Pay yearly and the twelfth month is free.
Questions clinics ask
Can patients book a dental appointment on WhatsApp without downloading anything?
Yes. The patient messages the clinic's normal WhatsApp number. There is no app to install and no link to open; the conversation itself is the booking.
Does WhatsApp booking work in Arabic?
With Sada, yes: Arabic, Lebanese Arabizi (Arabic written in Latin letters and numbers), French and English, including voice notes on the Custom plan. Many booking tools only understand English or fixed menu choices.
How does the AI know which times are free?
It does not guess. Open times are calculated by the scheduling engine from the doctors' hours, the rooms and the appointments already booked, and sent to the patient as options to tap.
Will WhatsApp booking reduce no-shows?
It helps in two ways: reminders arrive on the channel patients actually read, with one tap to confirm or reschedule, and a cancelled slot can be offered to the waitlist instead of staying empty.
Can we keep our current clinic number?
Yes. The clinic's existing number is connected through Meta's official WhatsApp Business Platform.
What happens when the AI cannot handle a message?
It hands the conversation to the team. Staff see every chat in a shared inbox and can take over at any time.
